How to find the duplicate name or ID number in your work sheet



Dear readers,
How are you? Hope to see you are in good condition. Today I am going to share you about a technique, perhaps the simplest way steps to help you while tracking any possibility similar name or ID number during your work with Microsoft excel.
Perhaps, this tips will suit on other Microsoft series besides Excel 2013. I hope so.

 So, let’s cut the crab….


Example Chase:
You receive a list which mentioning 1,000 names complete with his/her DOB, ID Number. 
 You are too ask a bonus payment request from your office to the employees. 

What if your previous report is missed, or any fraud action occurred, such as your colleague has been registered twice with different input. Imagine if you deal with thousands names?

You are not to worried about it, the Microsoft excel can support you with a tool called “ conditional formatting “ you may Use a conditional format to help you visually explore and analyse your  data, detect any  critical issues, and identify patterns and trends.  

Have you used it? If you don’t, than let me show you how to use it.

1. On your worksheet, highlights name or ID number that you concern to check there is a possibility double entry. 






Example :

I am going to track any possibility dual entry (same person but input two times, so I am highlighting the Colum C) by placing mouse on its’ Colum.
 
  


2. Click conditional formatting- Highlights Cell Rules- Duplicate Values






























3. After clicking the sub menu “ duplicate values “ you will be shown instantly the pink highlight to  number which is identified by system as “ dual entry “ inside your report. 













In this chase, we find that employee named Bross identified have dual entry, so you need to focus on their basic data such as trying to compare their DOB . 


Both Bross has same DOB (  16-Jan-86 ).
And you may continue your validation process by deleting or any action needs to be taken. 









If you do not need the highlights information, you may turn off with simple action  by doing the step 1 above ( highlights  the Colum) and continue with second step by clicking the sub menu “ duplicate value “ and press the sub menu  “ clear  rules- clear –clear from the selected files"
